Maintain Account

Note that fields on the screen marked with an asterisk (*) are mandatory.
You can SAVE data input on this screen part way through and come back to it later.

You must SAVE before leaving this screen or the details you have entered will be lost.

Account Type:
Select the type of account which is appropriate to your company.
If you supply fossil fuel or hold a duty deferment account with HMRC and use form HO10, you should select Fossil Fuel Supplier from the drop-down list.
If you supply only biofuel and report to HMRC on form HO930, you should select Bio Fuel Supplier.
If you do not supply fuel but intend to trade RTF Certificates, you should select Other.

If you are not sure which type of account applies to you, you should contact the RFA on 0207 944 8555 or operations@rfa.gsi.gov.uk.

 Business type
Select the organisation type from this drop down list. This will determine which of the rest of the information on this page should be mandatory for you.

Country
You should select the country in which your organisation is based from the dropdown list. This should be the country where the account holding organisation is registered.

Full Account Name
You should enter your company's full name as used in your Companies House return.

Short Account Name
You should enter a company name that will be used as the normal working name of your organisation (up to 15 characters). This is for convenience, as some full names are too long for reporting and other purposes. This should be a name by which your organisation is readily recognised and can be the same as the Account Code and the Full Account Name.

Account Code
You should select a code of between 2 and 5 capital letters which will work as a recognisable abbreviation of your organisation’s name. This should be as close to existing names / trade names as possible.

We may amend the Account Code or Short Account Name if it is ambiguous or conflicts with another account’s Name or Code. We will advise you if we need to change it.

Registered Business Address
We need you to provide us with the official name and address of the organisation. This should be the same organisation which is liable to pay duty on fuel and/or has a deferred duty account - as that will be the organisation that is obligated or entitled to receive certificates.
If you are a UK company, this should be the full name and address as registered with Companies House, as shown on the certificate of incorporation. Your company secretary should be able to provide this.

Correspondence Address
This is the address to which we will send important documents to the director who is nominated on the Director screen. (Most routine correspondence will be by email to the Lead User).
You can tick the box labelled Tick if same as Registered address if the registered company address is also to be used for correspondence. Otherwise, please fill in a new address.

Make Contact Details Available for Trading Purposes?
You should tick this box in order to make your contact details (as Lead User) available to other account-holders on the system so that they can contact you to buy and/or sell certificates. You can change this setting at any time in the future. No other information about your company or account will be published in this report.

You will still be able to buy/sell RTF Certificates if you do not tick this box.

HMRC Unique ref
This is the number given to your company when it registered with HMRC for payment of fuel duty:
     - If you use form HO10, this will be your DAN (Deferment Account Number).
     - If you use form HO930, this will be in the format Regime/number/year e.g. BD/385/05 or FP/1965/08

Post Code
You should enter the post code of your company's registered office. If it is in the UK, the system will conduct a basic check on the post code (including spaces) when the page is saved to ensure it fits the UK post code format. If it does not, you will be unable to save the data on this screen. If your company is based outside the UK, you should enter the local equivalent.

Telephone Number
You should enter your company's main switchboard number here. If this is a non-UK number, you should include the country code.

 Website Address http://
This field allows you to add your company's website address. It is not a mandatory field.

 VAT Registration Number
You should enter your company's VAT Number (corresponding to the registered company details). This number will be checked as part of the account validation process.

 Companies House Number
Your Companies House registration number. This will be checked as part of the account validation process. If your organisation is not registered with Companies House, we will contact you to request other official documentation to allow us to confirm your organisation's status.

 Companies House Reg. Date
The date on which your company was originally registered with Companies House. This mandatory field will also be part of the validation process.

 Pollution Prevention Control No.
This field is not mandatory, but it may be checked as additional evidence in the validation process.

 Auditor / Accountant Details
You do not need to enter any details in this section.

You must SAVE before leaving this screen or the details you have entered will be lost.

When you have completed and saved this screen and also the Directors and Users screens, you need to click on Apply for an Account. A model letter will then appear on the screen. You should follow the instructions at the top of the letter. You will not be able to access the details of your account again until it has been approved by the RFA. The Lead User will receive an e-mail to confirm approval.
